What do the columns in Tacey's ledger mean?

A plain explanation of every column on the Ledger page: When, Order, What changed, Before and after, Money moved, Who asked and Confirmed.

Every row on the Ledger page is one change to one order. Read across a row and you get the whole story: when it happened, what changed, whether money moved to match, who asked for it, and whether Shopify confirmed it.

The columns

Column

What it tells you

When

The date and time of the change, in your store's time zone.

Order

The order number. Click it to open the order in Tacey.

What changed

The kind of change, for example Shipping address changed or Items changed. If the change was refused, the reason is shown underneath.

Before → after

The values before and after, side by side. The old value is struck through and the new one follows the arrow.

Money moved

What happened to the money. See below.

Who asked

The customer, You or Tacey.

Confirmed

Yes once Tacey has seen the change confirmed in Shopify. No until then.

Before → after, in more detail

  • An address change shows each line that changed, for example the street or postal code. A line that did not change is left out.

  • An item change shows how many items changed, for example 2 item(s) changed. Open the order for the full detail.

  • A customer who kept their address after a warning shows what Tacey suggested, We suggested: ..., and what the customer kept, Customer kept: .... If Tacey could not confirm the address at all, it reads We couldn't confirm the address.

  • A refused change reads Nothing on the order changed.

Money moved, in more detail

This column never says money moved unless it did.

  • An amount, in green means money actually moved and Shopify confirmed it: a refund went out, or a customer paid.

  • No money moved means the change had no money side, such as a new phone number.

  • Anything else is a state that still needs time or a person, for example Refund owed, Balance due, Payment not completed yet or The refund did not go through. Each one is explained in the related article.

  • If the change itself did not happen, this column says so instead: Shopify refused this change, Stopped before reaching Shopify, Change not made or The change could not be sent. A refused change never shows a money figure, because no money question was ever reached.

Who asked

  • The customer: they made the change themselves on their order page. Almost every row is this.

  • You: a change you made through Tacey, such as merging two orders.

  • Tacey: a change Tacey made on its own, for example taking an added product back off an order when the customer never paid for it.

Edits you make directly in the Shopify admin do not appear here at all.

Confirmed

Some changes are accepted by Shopify first and finished a moment later. A cancellation is the main example: Shopify accepts it, then processes it. Confirmed turns to Yes once Tacey has seen the finished result in Shopify, whether from Shopify telling us directly or from Tacey's daily check. A row that stays No for a long time is worth a look in Shopify.

The "Tax may be wrong" badge

If a customer moved their address into a different tax region and Shopify did not recalculate the tax, the row carries a Tax may be wrong badge and the note: "Tax may now be wrong. The address moved to a different tax region and Shopify did not recalculate it. Review the order's tax total before fulfilling." Check the tax total on the order in Shopify before you ship.

The shipping zone notes

When a new address falls in a different shipping zone, the row explains what happened to the shipping fee, for example "New shipping zone. The fee stayed at $5.00; this zone's rate is $12.00." Where Tacey could not work out the new fee, it says so and asks you to review before fulfilling.
