How do I re-check addresses, archive or tag many orders at once from the Orders page?

Tick up to 50 orders on Tacey's Orders page and re-check their addresses, archive or unarchive them, or add or remove a tag in one go: what each action does, which orders it skips and why, and what you see when it finishes.

Written by Joseph Odera

On Tacey's Orders page you can tick up to 50 orders and run one action on all of them: re-check their addresses, archive them, unarchive them, add a tag or remove a tag. Before anything happens Tacey tells you which of the ticked orders it will skip and why, and the confirm button counts only the orders that will really run. When it finishes, every order shows what happened to it.

None of the five actions moves money. No refund, no charge, no cancellation, no change to items, and no email to your customers. Nothing is deleted.

Action

What it does

Where the result shows up

Re-check addresses

Runs Tacey's address check again on each ticked order

The Address check pill on the Orders page

Archive

Takes each order out of your open orders list in Shopify

Your Shopify orders list

Unarchive

Puts each archived order back in your open orders list

Your Shopify orders list

Add tag

Adds one tag you choose to each order

The order's tags in Shopify

Remove tag

Takes one tag you choose off each order

The order's tags in Shopify

These buttons live in Tacey's own admin, on the Orders page. There is nothing to add to your checkout or your Order status page for them. (The customer tools do need placing: see How do I add Tacey to my Thank you and Order status pages.) Tacey needs an active plan for every bulk action. Without one the window says "Tacey needs an active plan to check addresses." and nothing runs.

How to run a bulk action

  1. In your Shopify admin open Tacey, then Orders.

  2. Tick the box at the start of each order you want. To tick the orders on the page you are looking at, tick the box in the column header instead (up to 50).

  3. A bar appears above the table in place of the filters. It reads, for example, 12 orders selected and 50 at most, this page only, and it has six buttons: Clear selection, Archive, Unarchive, Add tag, Remove tag and Re-check addresses. On a phone the buttons wrap onto more rows.

  4. Click the action you want. A window opens and says what Tacey will do and which orders it will skip, with the reason for each. Nothing has happened yet.

  5. Read the window. Click the confirm button, which counts only the orders that will run (for example Archive 3 orders), or Cancel to leave everything as it was.

  6. Watch the result in the window, or close it. Archive, unarchive and tag runs carry on without you (see below). The result stays in Recent bulk actions at the bottom of the Orders page.

The rules for ticking orders

Rule

What happens

50 orders at most per run

Ticking a 51st order does nothing and the bar says "You can select 50 orders at a time."

This page only

Ticks never carry over to another page. If you change page, filter or sort, any ticked order that is no longer on screen is unticked

Only orders Tacey has checked

The Orders page lists the orders Tacey has checked, so those are the orders you can tick. An order Tacey holds no address check for is skipped with "Tacey has no address check for this order."

Clear selection

Unticks everything and brings the filters back

What every window shows before you confirm

  • One plain sentence saying what Tacey will do, such as "Tacey will archive 3 orders."

  • A short note on what the action does and does not do. For archive, unarchive and tags it says it moves no money and tells nobody.

  • A list headed, for example, "1 order will be skipped", with the order number and the reason in a sentence. Orders are skipped before you confirm, never discovered halfway through.

  • A confirm button that counts only the orders that will run. If none can run, the window says so (for example "None of the selected orders can be archived.") and the confirm button is greyed out.

Re-check addresses

What it does. Tacey runs its address check again on each ticked order, using the shipping address Shopify holds for the order right now, and updates the Address check pill on the Orders page. It only reads your orders and updates Tacey's own record. It does not change the address on the order, moves no money and does not edit the orders themselves. If you have Tacey set to tag orders with their address status, an order's Tacey tag can change to match the new check. A re-check does not count as a new order against your plan's monthly order limit.

It runs while the page is open. Unlike the other four actions, the re-check is driven from your screen, five orders at a time. The window shows "Re-checking: 3 of 12 done" and "Stay on this page until it finishes."

What you see afterwards. The window reads "Re-check finished" and a summary such as "9 passed, 2 need a fix, 1 skipped, 0 could not be checked." Each order has its own label.

Label

What it means

Passed

The address check is clean now: verified, located or corrected

Needs a fix

A person should look at this address, for example it needs a unit number or cannot be delivered. Open the order and use the suggested address, see How do I fix a flagged order's shipping address with Tacey's Use suggested address button?

Skipped

Tacey would get the same answer if it tried again, so it did not. The reason is in a sentence

Could not be checked

Tacey did not learn anything this time and a retry may. The reason is in a sentence

Two buttons can appear. Show the orders that need a fix filters the Orders page to the orders whose address check needs attention. Retry 2 that could not be checked runs only those orders again.

Why an order is skipped or could not be checked.

Sentence you see

When it happens

Tacey has no address check for this order.

Tacey holds no address check for this order in your store

This order arrived after your plan's monthly limit, so it was never checked.

Your plan's monthly order limit had already been used up when this order came in. Tacey never checks it afterwards. This is the same refusal as the single re-check button

Your plan's monthly limit is reached, so no address can be re-checked until it resets.

Your store is at its monthly limit right now. See What happens when I reach my Tacey order limit?

This order has no shipping address to check.

The order has no shipping address, for example it has nothing to ship

This order's country is outside the regions you check.

The shipping country is not one of the regions your settings validate

The address service did not answer. Retry in a moment.

The address check service had a bad minute (could not be checked)

Shopify did not return this order's address. Retry in a moment.

Shopify did not hand over the address (could not be checked)

Something went wrong checking this order. Retry in a moment.

An unexpected problem on that one order. The other orders carry on (could not be checked)

If you close the page in the middle of a re-check, the orders not yet checked stay unchecked. Recent bulk actions shows "Stopped before it finished" with the number not checked and a Check the rest button. Check the rest after a stopped re-check has not yet been run end to end on a live store.

Archive

What it does. Archive takes each order out of your open orders list in Shopify. Shopify calls this closing or archiving an order. The order is not deleted, nobody is told, no money moves, and you can bring it back with Unarchive. Just before it archives each order, Tacey checks that order with Shopify again, so it never acts on an old picture of the order.

Which orders Tacey will and will not archive. Tacey archives finished work only.

The order is

Tacey

Sentence you see when it keeps it open

Fulfilled and paid in full (paid, partly refunded, refunded or voided)

Archives it

Cancelled and settled (refunded, voided, never paid or expired), fulfilled or not

Archives it

Not fulfilled and not cancelled (this includes partly fulfilled)

Keeps it open

Kept open because this order has not been fulfilled or cancelled.

Fulfilled but not fully paid (payment pending, authorized only or partly paid)

Keeps it open

Kept open because this order is not fully paid.

Cancelled but paid or only partly refunded, or Shopify shows the customer is owed money

Keeps it open

Kept open because this order was cancelled but not fully refunded. Refund it first, then archive it.

One where Tacey's own record shows a refund or payment still owed or in progress

Keeps it open

Kept open because money is still owed on this order. Settle the refund or payment first, then archive it.

Already archived

Skips it

This order was already archived.

Being changed by something else right now

Tries again on request

Another change is happening on this order right now. Try again in a minute.

One Tacey cannot read from Shopify at that moment

Tries again on request

Tacey could not read this order from Shopify just now, so it cannot say whether it can be archived.

The last two rows are shown as Failed with a Retry button rather than Skipped, because they may well work a minute later. The rest are Skipped.

An order that still owes or is owed money is never archived, so archiving never hides an open refund. Tested on a live store: orders not yet fulfilled, an order not fully paid, an order already archived and an order another change was holding. The other sentences in the table come from Tacey's rules and have not yet been produced on a live store.

Does Shopify already archive orders for you?

Often, yes, and that is why Archive can say 0 orders. Shopify has its own setting called Automatically archive the order, in your Shopify settings under Order processing. When it is on, Shopify archives orders that are paid and fulfilled, and orders that are fully refunded, on its own. See Shopify's own page, Set up order processing and archiving.

So on a store with that setting on, a paid order is already archived the moment you fulfil it. If you tick such an order, Tacey skips it with "This order was already archived." and, if every ticked order is like that, the confirm button reads Archive 0 orders and is greyed out. Nothing is wrong. The open list simply held nothing left to archive.

If you want Tacey's Archive to have work to do, turn that Shopify setting off.

Unarchive

What it does. Unarchive puts each ticked archived order back in your open orders list in Shopify. It moves no money and tells nobody. Tacey checks each order with Shopify again just before it reopens it.

An order that is already open is skipped with "This order was already open." An order Tacey cannot read from Shopify at that moment, or one another change is holding, shows as Failed with Retry, with the same sentences as above.

Add tag and Remove tag

What it does. Add tag adds one tag to every ticked order. Remove tag takes one tag off every ticked order. A tag is your own label, such as a campaign name or a warehouse code. Tags move no money and your customers never see them.

How to run it.

  1. Tick the orders and click Add tag or Remove tag.

  2. The window Add a tag or Remove a tag asks for the tag. Type it in the Tag box. The help text under the box reads "One tag, up to 40 characters, no commas."

  3. Click Check the orders. The button stays greyed out while the box is blank. If the tag is not usable (over 40 characters or with a comma), the box shows a red message when you click it and nothing is checked.

  4. Tacey checks each order with Shopify and shows the preview, for example "Tacey will add the tag "drive2159" to 11 orders." with the skip list under it.

  5. Click the confirm button, for example Add the tag to 11 orders, or Cancel.

What counts as a usable tag.

Rule

Detail

One tag per run

To add two tags, run it twice

Up to 40 characters

The box shows how many you have used, for example 17/40

No commas

Shopify would split a comma into two tags, so Tacey refuses it. The box says "A tag cannot be blank, cannot be longer than 40 characters and cannot contain a comma."

Capital letters are ignored when comparing

"Priority" and "priority" are the same tag, as in Shopify

Accents and other alphabets are fine

A tag such as Priorité-Ñ was added and removed on a live store

What it never does. It adds or removes only the tag you named. It never replaces the other tags on an order. When it removes a tag it removes the order's own spelling of it.

Which orders it skips.

Sentence you see

When it happens

This order already has this tag.

Add tag, and the order already carries the tag

This order does not have this tag.

Remove tag, and the order does not carry the tag

Tags are allowed on every order Tacey holds, including orders still waiting for payment and orders another app created, because a tag moves no money.

A tag Tacey adds itself. Tacey writes a few tags of its own to show something about an order, such as `tacey-refund-owed`. If you type one of them, a blue note appears beside the box: "Tacey adds this tag itself to show something about an order. Changing it here changes the tag on the order only, not what Tacey has recorded, and Tacey may add or remove it again." Nothing is blocked. The note is there because removing `tacey-refund-owed` would make the order look settled in your Shopify admin while Tacey's own record still shows a refund owed.

While it runs and when it finishes

Archive, unarchive and tag runs finish without you. Each order is handled in the background, so you can close the window or leave the page. The window says "You can close this window or leave the page. Tacey finishes in the background, and the result stays under Recent bulk actions." The result of a re-check is different: it needs the page open, as above.

Each order gets one label.

Label

What it means

Waiting

Not started yet

Checking

Being worked on now

Done

Tacey changed the order: archived, reopened, tagged or untagged

Skipped

There was nothing to do or the rules said no. The reason is in a sentence

Failed

Tacey tried and it did not work, or could not try. The reason is in a sentence, and Retry can run it again

The summary line reads, for example, "8 archived, 0 skipped, 0 failed.", "6 unarchived, 0 skipped, 0 failed." or "11 tagged, 1 skipped, 0 failed." (untagged for Remove tag).

Why an order Failed.

Sentence you see

What to do

Shopify did not accept the change. Retry in a moment.

Click Retry. Shopify's own wording is kept in the order's history, not shown here

Tacey lost access to your store, so the run stopped. Reconnect Tacey, then retry.

Tacey stops the whole run at once rather than failing order after order. Reconnect Tacey, then Retry. This message has not yet been seen on a live store

Tacey could not start this order. Retry in a moment.

The run was made but this order could not be started. Click Retry

Something went wrong checking this order. Retry in a moment.

Click Retry. Also shown if a tag run meets a tag Shopify will not take

Another change is happening on this order right now. Try again in a minute.

Wait, then Retry

Tacey could not read this order from Shopify just now, so it cannot say whether it can be archived.

Wait, then Retry

Retry. After a run with failures the window offers Retry 2 that failed. It runs only the failed orders again. Done and Skipped orders are left alone, so nothing is archived or tagged twice. Retry after a held order was tested on a live store for archive. Retry on a tag run has not yet been run end to end.

Check the rest. If a run did not finish, Recent bulk actions says "Not finished yet: 3 still waiting." with a Check the rest button, which sends the waiting orders again. This has not yet been seen on a live store.

One run at a time. Only one archive, unarchive or tag run can be going on in your store. If you start another before the first finishes, the window says "A bulk action is already running; wait for it to finish." and nothing is started. A run that has been unfinished for more than an hour no longer holds your store up.

Recent bulk actions. At the bottom of the Orders page Tacey keeps your last five runs, each as one line, for example:

  • Oct 23, 2:09 PM: archived 8 orders. 8 archived, 0 skipped, 0 failed.

  • Oct 23, 1:44 PM: added the tag "Priorité-Ñ" to 6 orders. 6 tagged, 0 skipped, 0 failed.

Does anything move money or email my customers?

No. None of the five actions moves money, and none sends your customers an email.

  • Archive refuses any order where money is still owed, so it never hides a refund you still have to send (see the table above).

  • Re-check addresses reads and updates Tacey's own record only.

  • Tags are labels only.

  • Bulk cancel and bulk refund are not part of this. Anything that moves money stays one order at a time, where you see the amount and confirm it.

Every order Tacey changes gets one record in the order's history, with "No money moved". You can read it on the Order changes page, where the changes appear as "Order archived or restored" and "Tag added or removed", and you can filter by them. See How do I see every change a customer made to an order?. An order Tacey skipped is not changed, so it gets no record.

What this does not do

  • It does not cancel, refund, charge, or edit the items, shipping or discount of any order.

  • It does not change an order's shipping address. Re-check only checks it. To fix an address, open the order.

  • It does not delete orders. Archived orders can be brought back with Unarchive.

  • It does not email or notify your customers.

  • It does not select orders across pages. A run is the orders you ticked on the page you are on, 50 at most.

  • It does not work on an order Tacey holds no address check for, and it never touches another store's orders.

  • It does not archive an order with money owed, an order not yet fulfilled (unless cancelled and settled) or an order not paid in full.

  • It does not turn Shopify's own "Automatically archive the order" setting on or off.

  • It does not add or remove more than one tag per run.

  • It does not run without an active plan.

Common questions

Why does Archive say "Archive 0 orders" and why is the button grey? None of the orders you ticked can be archived. Open the list in the window to see why for each one. Often Shopify has already archived them, see "Does Shopify already archive orders for you?" above.

I ticked 50 orders and the bar will not let me tick more. Can I do more? Run the action, then tick the next orders on the same or the next page and run it again. A run takes 50 orders at most.

The window says a bulk action is already running. How long do I wait? Until the earlier archive, unarchive or tag run shows its result under Recent bulk actions. Archive, unarchive and tag runs finish on their own even with the page closed. If one has been unfinished for over an hour it stops blocking you.

One order failed. Do I have to start again? No. Click Retry on the result. It runs only the failed orders. The others are not repeated.

I removed a tag by mistake. Run Add tag with the same tag on the same orders.

I archived an order by mistake. Tick it and click Unarchive.

Will a customer see an archived order differently? No. Archiving only moves the order out of your open list in Shopify. Tacey's customer tools do not change.

Does a re-check use up my plan's monthly orders? No. An order is counted once, when it arrives. A re-check does not count it again. See How does Tacey count my orders each month?.
